FIU's Office of Clinical Education: contracts, approvals and what it needs from you

At Florida International University (FIU), the Office of Clinical Education in the Nicole Wertheim College of Nursing & Health Sciences stands behind every clinical contract. It works out agreements with clinical partners, confirms which sites and preceptors have everything FIU requires, and, through the graduate nursing clinical coordinator, corresponds with practices while a placement comes together. Knowing its role and what it needs from you makes each request move faster.

One office, three names

FIU refers to the same unit in three ways. The graduate handbook calls it the NWCNHS Office of Clinical Education and, in other passages, the Clinical Education Department; the MSN Clinical Education page calls it the designated clinical department. When any FIU document tells you to work with the clinical department, this is the office it means.

The office works with the college's Office of Academic Affairs on site selection. For graduate students, the handbook describes it as the body that helps establish contracts with clinical partners and as the judge of whether every site and preceptor has its contracts and paperwork in order. For RN to BSN students, the 2021 information package points to the Clinical Education Department or the RN-BSN Program Coordinator for word on existing South Florida contracts.

What the office decides

Decisions that sit with the office

  • Whether a practice already counts as an approved FIU-NWCNHS clinical site.
  • Whether to pursue a new affiliation agreement with a practice you suggest, and when that agreement is complete.
  • Whether a given site and preceptor are fully documented before your first clinical day.
  • For DNP residency hours, the contract check in its Organizational Mentor Approval Process.
  • For post-MSN DNP students, approval of the rotation, jointly with the DNP Program Director.

Your clinical faculty member separately signs the Preceptor Request Form. Both approvals count: the handbook counts clinical work begun before approval or a contract as misconduct, so a faculty signature on its own is not the signal to begin. If the practice you suggest is new to FIU, the office is the party that seeks the agreement with it, and your role is to keep the preceptor updated on where things stand.

The people behind the office

The graduate nursing clinical coordinator is the title you will hear most. In the handbook, this is the go-to person for placements at selected sites, reaching out to preceptors and practices and keeping up the correspondence until a placement is settled. Two more titles appear in FIU's documents: a Clinical Site Coordinator in the handbook and, in the 2022 manual, a Director of Clinical Education, who with the clinical faculty handles preceptors' requests for the Certificate of Participation.

Your clinical faculty member, one per student each semester, signs your request, arranges site visits and approves your Typhon entries. Track program leaders, the Graduate Nursing Advisor and, for DNP students, the DNP Program Director complete the picture. The who does what guide maps each title to its part of a rotation.

What the office needs from you

Have these ready before you write to the office

  • A complete Preceptor Request Form: preceptor, facility, specialty, address, email, course, term, dates, days and times.
  • The preceptor's license and its expiration date, which FIU staff record on the form.
  • Your faculty member's approval signature on the request.
  • Enough lead time for a new agreement: 6-8 weeks by the current handbook, with the full comparison on the site contracts page.
  • Your clinical clearance under way in Complio (the handbooks' name) or FIU Express (the web pages' name).
  • For DNP residency hours, your organizational mentor's details for the approval process.

Send everything from your FIU email account. The handbook routes all program communication to and from FIU accounts and expects you to check yours daily, which keeps the thread with the office in one place.

Questions worth asking the office early

The office holds answers FIU does not publish, so a short list of questions in the semester before your practicum saves time later.

  • Does this practice already hold an FIU contract, and is it on the Clinical Site Contracts list?
  • Is this preceptor already on the Typhon NWCNHS approved list?
  • Can my online-track rotation take place beyond FIU's four home counties, or in another state?
  • Which clinical-hour total applies to my cohort, the 770 on the web pages or the handbook's 630 minimum?
  • Is my clearance account in Complio or FIU Express?
  • How are faculty site visits handled for a practice far from Miami?

Keep each answer with its date. Where FIU's documents disagree, as they do on hours and contract timing, the office's written reply is what you can point to later; the 770 vs 630 hours guide explains the largest of those gaps.

DNP and RN to BSN students and the office

DNP students meet the office through the organizational mentor. The handbook's residency steps have you pick a mentor, look the site up on the Clinical Site Contracts list, confirm its agreement through the office's mentor approval process, and then follow that contract and the site's own rules. The same passage allows 6-8 weeks for a brand-new contract, so name your mentor well before the residency course begins.

RN to BSN students reach the office through the Program Coordinator. The 2021 information package, still linked from FIU Online, sets the final-semester placement deadline at December 1 for a Spring practicum, April 1 for Summer and August 1 for Fall, allows at least 4-6 weeks for Complio clearance, and warns that a new contract can take 6-9 months or longer. Because the package dates from 2021, confirm current dates with the RN-BSN Program Coordinator.

How we make the office's review straightforward

Everything the office asks for is something we assemble before you submit. We confirm the preceptor's license, expiration date and certification, collect the facility and schedule details for the request form, and find out at the outset whether the practice already holds an FIU agreement, so any wait for a new contract appears in your plan from day one.

We also keep the file consistent: the same preceptor name, specialty and address on the form, in your clearance record and in your Typhon setup. Approval decisions belong to the office and your faculty; we make sure nothing is missing when they review, and if the office comes back with a question, the preceptor's details are already on file for a quick answer. Questions FIU students ask

Does the Office of Clinical Education find preceptors for online-track students?

On the online Adult-Gerontology and Pediatric Primary Care tracks, FIU's Clinical Education page puts identifying the site with the student and has the clinical department help set up the contract. The office's part there is the agreement and the document check rather than the search. Hybrid-track students receive one-on-one placement assistance from the same department.

Who is the graduate nursing clinical coordinator?

It is the role FIU's graduate handbook names as the central contact for placements at selected sites. The coordinator contacts and corresponds with preceptors and sites through the placement process, which makes this person the natural first contact when you have a practice in mind or a question about where a contract stands.

Can the office tell me whether a practice already has an FIU contract?

That is the most useful question to put to it. The handbook points DNP students to a Clinical Site Contracts list that FIU does not post publicly, and the request form asks whether the preceptor already appears in Typhon as NWCNHS-approved. Finding an existing agreement removes the wait for a new one, so ask before you invest in a practice.

How do I reach the Office of Clinical Education?

Through your FIU email account. The graduate handbook makes FIU email the official channel for program communication, lists Canvas as another official channel, and expects you to read your FIU inbox daily. Put your track, course, term and the practice's name in every message, so the office can match your request to the right file.

Does the office handle Nurse Anesthesia and BSN placements too?

Those programs assign sites rather than asking students to find them. In Nurse Anesthesia, the 2022 program manual leaves site assignments to the program's own clinical coordinator and faculty. BSN students are placed in clinical groups at faculty discretion, and the BSN handbook names the Director of Clinical Education as the person who handles clinical group changes.

We check these pages against FIU's own graduate handbook, preceptor manual, plans of study, catalog and licensure pages. Your plan of study, your course faculty, your clinical faculty and FIU's Office of Clinical Education have the final word.

FIU asks you to identify your clinical site. We make that the easy part.

Tell us your FIU track, where you live and which semester your next practicum starts. We find preceptors whose patients fit the course, check early whether the site already holds an FIU contract, and prepare everything the Preceptor Request Form asks for.

  • Preceptors matched to the course: adult and older-adult primary care for NGR 6201L, pediatric primary care for NGR 6301L, an organizational mentor for NGR 7940C
  • Preceptor, facility, license and schedule details ready for the Preceptor Request Form, weeks ahead of the contract clock
  • Across Miami-Dade, Broward, Palm Beach and Monroe, or beyond them where FIU approves your site
