The FIU preceptor folder and your first clinical day
Florida International University (FIU) expects you at your first preceptor meeting with a folder in hand: the course's objectives and competencies, the evaluation forms, how to reach your faculty, and learning objectives you write yourself. Before that day the contract, approval and clearance must all be finished, and the schedule you settle with your preceptor has to reach your clinical faculty in the first week of clinical seminar.

Three things that must be done before day one
Your first clinical day sits behind three gates. A student who walks in early risks more than a wasted morning, because walking into a site before approval and a contract are in place is conduct the graduate handbook treats as a violation.

- Your clearanceComplio (named FIU Express on the college's web pages) must show your background check, drug screen, immunizations and the other items complete before the rotation starts. The clearance page lists each one.
What goes in the preceptor folder
FIU's 2022 preceptor manual asks you to hand your preceptor a folder at the first meeting. It gives a busy clinician what they need to supervise and grade you without searching FIU's systems for it.
Put these in the folder
- The course objectives for the practicum, taken from the syllabus FIU posts on SharePoint
- The competencies the course expects you to show
- The evaluation forms, including the preceptor evaluation in Appendix C of the manual
- Contact details for your course faculty and your clinical faculty
- Your own learning objectives for this rotation
Bring the Clinical Rotation Time-Sheet Log too, since the manual has you give it to the preceptor to sign daily or weekly; the Typhon and time sheet page covers how it is used. Hand the folder over on paper and email the same files, so the evaluation forms are easy to find at mid-rotation.
Writing your own learning objectives
The one item in the folder that comes from you is your learning objectives. FIU does not publish a template, so tie them to the course objectives and competencies in your syllabus and to the patients the site actually sees.
For NGR 6201L, one objective might be to take focused histories and exams for older adults with several chronic conditions and present a plan to the preceptor for each. For NGR 6301L, it might be to run well-child visits with the developmental screening each age calls for. Write each objective so a preceptor could say, at mid-rotation, whether you are meeting it.
FIU's handbook says faculty review your prior experience when judging which site suits you, so an objective that names a gap in that experience is worth writing down. It shows the preceptor where to push you.
Setting the schedule
FIU's 2022 manual asks you to settle hours with the preceptor ahead of the practicum's start, and to get a detailed schedule to your clinical faculty no later than the first week of clinical seminar. The faculty member plans the observed site visits from it, so list real dates and times rather than a loose pattern.
For primary care, the graduate handbook sets the expectation of weekday clinic days, Monday through Friday from 9 in the morning until 5, and acute care students may also see evening, night and weekend shifts. Hours per primary care practicum course are not something FIU publishes, so ask your course faculty what your practicum needs before you fix the calendar. Rotations run only in official semester periods, and clinicals during a campus break need your faculty's approval by email first. On the 2026-27 academic calendar, that means asking before you book clinic days in spring break, March 1-7, 2027.
The first day on site
Expect the site to have steps of its own. FIU's graduate handbook says you may need training on the site's electronic health record and must follow the site's policies, which can mean a badge photo, EHR training or an orientation module before you see a patient.
Be early. Anything past five minutes late is tardy under the handbook, and a tardy student may be sent home for the day. Use the first conversation to walk the preceptor through the folder, confirm the schedule you sent FIU and agree when the time sheet will be signed. Then log the day in Typhon promptly, because entries are due within 7 days. Before you leave, note the next clinical date on both calendars so the second day is as settled as the first.
When a clinical day falls through
FIU's handbook covers the usual disruptions. Holidays are handled simply: if an official holiday falls on a clinical day, you and your preceptor pick a replacement day. During a hurricane you follow official university closures only, not local rumors, the site's own plans or another school's announcement.
Missed clinical hours must be made up, anything longer than a three-day absence calls for documentation, and falling short of attendance requirements risks failing the course. If your preceptor cancels a day, tell your clinical faculty and book the replacement straight away. Keep a running tally of hours owed so nothing slips to the last week of the semester. What happens to my clinicals when a hurricane threatens South Florida?
FIU's graduate handbook tells you to go by official university closures alone. Watch FIU's own announcements rather than local rumors or the site's plans. Any clinical hours you miss still have to be made up under the handbook, so set a new date with your preceptor and let your clinical faculty know.
What if my clinical day falls on a holiday?
When an official holiday lands on a scheduled clinical day, FIU's graduate handbook has you make it up on a replacement date that you and your preceptor agree. Add the new date to the schedule you sent your clinical faculty, so your hours and any planned site visit still line up.
